A contractor “pay stub” is better described as a contractor payment statement. It should identify:

  • The contractor's legal name and, if relevant, business name
  • The client, payer, or platform
  • A payment date and the period or invoice covered
  • The gross payment actually earned
  • Genuine fees, reimbursements, chargebacks, or adjustments when applicable
  • The net amount paid
  • A reference to the invoice, contract, or platform record behind the amount

No tax withholding line should appear unless withholding actually occurred and can be documented. An employee-style statement with invented FICA deductions can create more questions than it answers.

Keep the payment periods consecutive. If a client pays irregularly, use the actual invoice or service dates rather than forcing the payments into a fake weekly payroll schedule.

  1. Enter the contractor and payer exactly as they appear in the real records.
  2. Use the actual service, invoice, or payment period.
  3. Record the gross amount and only the adjustments that genuinely occurred.
  4. Leave employee withholding at zero or omit it when the client did not withhold it.
  5. Save the source record with the statement so every number can be checked.
  6. Repeat the same method for each recent period instead of filling gaps with estimates.
